The AI ​​assistant is based on the LLM's (Large Language Models) "Claude" and "ChatGPT 3.5 Turbo".
It books service appointments fully automatically with the customer, 24x7x365 in your Google Calendar. Integration into other calendars possible using APIs.

In addition, he records the customer data (mandatory fields and others if the customer wants them) and stores them in the database (Airtable, alternatively GoogleSheets) for further processing during interactions in other modules.
03 Staff Module

In our employee module we show examples of the possibilities, for example with an accepted WhatsApp integration.
Here the mechanic could tell the AI ​​assistant from the workshop via Whatsapp what the status is (e.g. “ready for collection”, “consultation required, we will call you”, “repair according to plan” etc.).
The assistant automatically saves this information in the database. If a certain status is reached, such as "ready for collection", "consultation required, we will call you" an email (and/or SMS) is automatically sent to the customer informing him of the status. Optionally, the customer can also query this themselves in Module 04 (if they do not allow communication via email and SMS).
SMS & Whatsapp are inactive in this demo. An email message with the status “ready for collection” is configured and will be sent to the email address entered by the “customer”.
This AI assistant answers your customers 24x7x365 all questions about your services, your company and everything you train them with.

You can train the assistant with Word, PDF, URLs and a variety of content and tell him how he should answer (briefly, friendly, seriously, as an employee of your company, etc.). For this demo, we fed it limited training data via a fantasy workshop called "Motorsport Workshop".
If he can't answer something, it's because we haven't given him any information about it.

04 Customer-Module
Repairstatus
Customers who do not want to receive email/SMS notifications or do not provide a cell phone number can use this module to query the status of their vehicle using the assistant.
The basis is the input from the employees in Module 03.
If there was already a booking of a service appointment in the demo with the license plate number, the customer can query the current repair status in the customer module.
Of course, this also shows a status change that an “employee” may have made in the meantime.
05 Lead Capture Module
We have installed a rudimentary “lead capture module” for customer acquisition. What does that mean?
If a prospect goes into the AI ​​knowledge base module and asks more than one question about your services/company, we assume that they can be a potential lead. If applicable. This (lead = (new?) contact) is on your website for the first time and does not know your company.
The AI ​​can help convert this lead before it clicks on to the next car dealership.
To do this, we have built in a voucher section in which the AI ​​offers the visitor a voucher for their next service appointment.
A random code is generated for the customer in the background and they receive a voucher for the next service appointment by email. Of course in exchange for his customer data and marketing consent. For existing customers, you could add something like this to get a positive Google rating, etc.
